When entering hours think first about where you worked then what you did. RMS and Medicare reporting is site specific so it is important to document accurately where you were and then what you did there.

Enter conferences and meetings first, then fill in your other hours.

Do not account for travel time in your hours.

Medicare, and therefore also RMS, recognizes a difference between instructor-led conferences (noon conference, Grand Rounds) and case review sessions (morning report, 3M).

Time away from the program for either vacation or illness should be entered using the “Time Away- Short” assignment. Any leave that extends training time will be entered by the coordinator.

Special Elective assignments are not created in RMS. It is important that a Request for Special Elective Form is submitted timely to ensure Pediatric Education creates the assignment for you to be able to enter your time.

Moonlighting activities at an affiliate site must be entered into the timecard because these hours count towards ACGME Duty Hour requirements.

All hours for the month must be completely entered by the 5th day of the next month. Reports will be run on the 1st day of the preceding month to confirm all hours are current. If they are not, you will receive a reminder text page or e-mail. Individuals who do not complete their hours risk being pulled from their duties.
